# Share a family newspaper privately

## Send a finished edition

Send readers the approved PDF of your family newspaper rather than the link used to work on it in Canva. A reader needs the finished edition; a relative assigned to make corrections needs working access. Decide which role the recipient has before copying a link. An attachment avoids granting access to the design, but it is still a file someone can save or forward.

Open the downloaded PDF and check the cover, last page, and corrected passages. Use a dated version name such as family-newspaper-2026-10-v03.pdf, with drafts in a separate folder. Canva’s file-type help distinguishes PDF Standard from PDF Print. Choose for reading or your printer’s requirements, without treating an export setting as a privacy guarantee.

## Keep working access purposeful

List the people who actually need to correct the design. Before inviting anyone, inspect the settings your account offers: the named person, permission granted, and whether a link reaches beyond that person. Labels may vary. A share button alone does not tell you what someone will be allowed to do.

In this fictional example, Leah prepares the newspaper, Marcus checks dates, and six relatives receive the edition. Marcus gets the access needed for his task; the six readers get the PDF. The purchased template-access link is not a family distribution link. Keep it out of the newspaper and group messages. Once corrections are complete, review working access you no longer need.

## Review what the file reveals

Review content for this particular audience: full names, visible addresses, schools, health information, old disputes, and everyone in photographs. Ask about the actual passage or image, not just the general idea of making a gift. An edition intended for a handful of relatives can still embarrass someone pictured or named in it.

Take care with cropped photos. Canva’s help says a PDF may contain the original uncropped photograph. Moving an address outside the visible frame therefore does not reliably remove it. Remove the image and create a replacement file without the sensitive information before importing it again. Check the new export. If you cannot establish what remains in it, use another image or a text-led page.

## Use a checklist before sending

Keep this checklist beside the finished file. Fill it out with the actual recipients, without publishing their contact details inside the newspaper. In a large family, distinguish relatives with similar names and verify the entered address instead of picking the first suggested contact.

Leah’s fictional entry would read: version v03, PDF attached, six recipients checked, Marcus’s corrections included, photos approved for this group. Send yourself a test message to inspect the attachment. That helps catch the wrong file; it does not establish that readers will never forward it.

- File: name, version, and date.
- Audience: checked list, without casually adding a group.
- Content: permission obtained or material removed.
- Access: reading PDF separate from the Canva project.

## Respond if a link is forwarded

If a working link reaches someone outside the intended group, inspect the available options to remove access or change sharing scope. Notify the people affected and ask recipients to delete inappropriate copies. Changing a link does not recall a PDF already downloaded. Be specific about what you were actually able to remove.
