## Scan or photograph: decide for this print

To scan old family photos, first choose a method that captures the image without damaging the print. A home scanner may suit an ordinary loose photograph. Taking a photograph may be preferable when the original cannot lie flat without strain. There is no single setting that fits every print and every intended use.

Try one picture before working through an entire box. Open the result and decide whether you can see the faces and details that matter. Library of Congress search material describes home scanning for family sharing; this limited evidence is not archival certification or an exact resolution requirement. Choose your next step from the condition of this particular photograph.

## Keep the original safe during capture

Set up a clean, stable surface with room to support the print without bending it. Handle it carefully and avoid forcing a curled photograph or one attached to an album. Do not cut an original to make it fit a digital frame. The newspaper crop belongs on a separate working copy.

If a print is fragile, torn, or difficult to remove, leave it supported and choose a capture method that respects its condition. Capture the back too when it carries useful writing, without attempting an improvised repair. Record names and dates separately. Writing on the back can help explain a picture, but it may be uncertain or have been added long after the photograph was taken.

## Check glare, edges, and visible detail

Check the capture before putting the print away. Glare across a cheek, a dark edge, or a missing corner can make a file less useful than expected. When photographing a print, adjust the light or camera position if a reflection hides something important. Compare the new attempt; a brighter image is not necessarily a more faithful one.

Inspect all four edges, faces, and writing at a size that lets you see them. Then look at the whole picture. A tiny mark may not affect the story, while a missing person does. If you later crop the image in Canva, remember that cropping can hide part of it without removing that content from the exported PDF.

## A capture record you can copy

Copy this fictional capture record and adapt it: “ID: PH-014. Print: backyard family meal. Owner: Claire. Method: photograph. Back: handwritten note captured separately. Capture date: September 30, 2026. Scene date: around 1985, according to Claire. Check: three faces visible; reflection on the right needs another attempt.”

Add a decision: “Capture again before layout,” “Use at a small size,” or “Choose another picture.” Keep the filename beside the decision. The record connects the physical print, its digital file, and the information collected about it. That connection helps prevent an estimated date from turning into a confirmed one when another family member takes over the folder.

## Keep a source file and a working copy

Keep the first capture separate from cropped or edited versions. For example, use PH-014-source.jpg and PH-014-newspaper-v01.jpg. These filenames are a suggested working convention, not an archival standard. Keep a separate copy of the folder too, and check that the files open before relying on another storage device.

Before placing the image, ask who agrees to its use and who may receive it. Remove or recreate sensitive image content before sharing; cropping alone does not remove it reliably. The English 22routes 80th birthday template is a 12-page digital Canva template. Printing is arranged separately. The preparation and printing guides listed below cover the next stages of the project.

## Frequently asked questions

### Should every photo use the same scanning resolution?

No. This guide does not prescribe a universal number. Assess the capture, its intended size in the newspaper, and your chosen printer’s requirements. A small inset and a front-page photograph require different decisions.

### Can you discard the prints after scanning?

A capture does not replace every piece of information in the original. Keep the prints and their context when possible. Check the files and retain a separate copy too; a single digital folder does not prevent every kind of loss.
