## Decide who will read the edition

A retirement newspaper needs a defined audience before it needs sections: colleagues at a gathering, family reading it afterward, or a mixed group. That choice determines how much context to explain and what to exclude. An office joke may mean nothing to relatives, while an intimate family message may not belong in a meeting room. Fictional example: Nora prepares an edition for her father’s retirement with contributions from his former team.

She writes “family and invited colleagues” at the top of the folder and asks one colleague to gather workplace material. The task is to organize the complete gift, not to write a detailed career narrative or make retirement sound the same for every person.

## Give every part a clear purpose

Build the contents around separate functions: welcome the reader, place the career in context, hear from colleagues, move into personal life, and close with messages. Keep work dates in a short reference feature so they do not absorb the space intended for relatives. In the fictional plan, Nora assigns a farewell front page, a career overview, two workplace scenes, an interests feature, and family messages.

These are editorial functions, not pages promised by an existing template. For each part, name an owner and record the missing material. Remove a section with no useful contribution rather than filling it with interchangeable praise. A lighter edition can still explain why the people involved wanted to make this gift.

- Welcome and career context: owner / facts to check.
- Colleagues’ memories: collector / permission for the intended audience.
- Personal life and messages: contributors / approved photos.
- Final version and handoff: owner / confirmed location.

## Send colleagues a request they can answer

Request one checkable fact, a memory of working together, and a personal message, with a length suited to the space available. A usable prompt is: “Describe a situation you experienced together, explain your role, and say whether this text may be read by the family.” Include the return date, collector’s name, and submission channel. StoryCorps includes work and relationship prompts; this particular request is original and specific to the recipient.

In the fictional example, Nora receives a training memory, a troubleshooting scene, and a team-lunch story. She keeps these as personal memories rather than turning them into customer endorsements or proof of professional performance. Contributors can review substantial edits to ensure their meaning survives.

## Leave confidential details out

Remove customer data, internal numbers, work documents, and anecdotes that could expose a personal difficulty. A contribution sent for the gift does not automatically permit online publication. Ask about quoting, showing photographs, and sharing with the defined group. Check job titles and years with someone who knows; when accounts disagree, use cautious wording or omit the detail.

In the fictional example, an office photo includes a board of case information, so Nora requests another image instead of depending on a crop. Review photo backgrounds as well as written sentences. For a mixed audience, also explain harmless workplace shorthand. Readers should understand the story without needing access to internal documents or private conversations.

## Plan the handoff and check the format

Name one owner of the final version so several competing files do not circulate just before the farewell. That person checks page order, signatures, the recipient’s name, and late contributions. Separately confirm who brings the gift and where it will be presented. The current 22routes catalog has no dedicated retirement template. Before considering an existing family design, inspect its real previews and labels, including the English design’s 80th birthday wording.

Do not assume complete adaptation is available. Current templates are 12-page digital Canva files; printing and delivery need separate arrangements. The public photo-and-story preparation guide supports material collection, not a printing reservation. If the design does not fit the event, choose another format and retain your edition plan.

## Frequently asked questions

### What surprise can we prepare for a retirement?

A newspaper combining colleagues’ memories and family messages may work. Define the audience, arrange a private review, and assign the gift handoff. Consider whether the recipient would welcome this kind of attention rather than a large public tribute.

### Does the newspaper need the entire career history?

No. A short career reference and selected scenes can be enough when the edition also includes relatives and what comes next. A detailed career narrative is a separate writing task; this plan organizes a gift its intended audience can follow.
