## Quick answer

Check the reader’s role, file, language, and an actual opening before buying. Use a readiness sheet to decide what needs confirmation and when to choose another gift.

## Check the use, not just the download

A digital gift fits when the recipient wants it and can enjoy it without a hidden task. Before buying, separate the person who personalizes it from the final reader. You can prepare a newspaper for your parents without asking them to work in Canva. Giving a template to someone who enjoys creating is a different gift: they need to want that project and have the required access.

The sheet below checks the recipient’s experience. It does not rank PDF against paper or replace a complete sharing-permission review. Its result is a decision: ready, information missing, or another approach. Ask about the person’s actual habits rather than inferring ability from age, the device they own, or how often they use email.

## Eight checks before buying

For each line, record an answer and who can confirm it. “Probably” means information is still missing. The recipient’s stated preference matters more than a family group’s assumption. If a surprise prevents a direct question, ask an authorized relative about the practical details without sending personal material they do not need.

1. Role: a gift to read or a project to personalize? Name who will make edits. Someone who only wants to read should not have to learn an editor to receive your family memories.
2. Format: what will you actually hand over, a finished file, template access, or a third-party offer? Check the specific listing. “Digital” alone does not explain the contents or remaining work.
3. Device: which device will open the result? Confirm the file on that device with the usual app. Successful opening on the buyer’s computer does not establish successful opening for the reader.
4. Language: does the gift’s text match what the person reads? Inspect inside pages. A store’s interface language does not translate a template’s headings, instructions, or sample text.
5. Access: is an account, invitation, or particular feature needed? Check the relevant account and terms. Assume neither that every feature is free nor that a subscription is necessary.
6. Reading: are the text and captions comfortable for this person? Try a representative page at their usual settings. An attractive cover does not establish that the smaller sections are readable.
7. Sharing: do the people mentioned agree to this audience and use? Choose suitable material before sending. The gift does not automatically authorize sharing their photographs or the purchased template-access link.
8. Help: who will help if the file will not open, and is that help wanted? Agree on a contact and fallback. Do not leave a technical problem as the recipient’s final step.

## Turn answers into a decision

Do not add eight boxes together to create a compatibility score. One missing essential can justify a different gift: an unreadable language, an unwanted role, or a file that cannot be used. The table identifies the next action rather than measuring ability. Keep the coordination sheet private; it can contain habits and contact details that do not belong inside the newspaper.

Separate refusal from missing information. If your aunt prefers paper, her answer does not call for another digital trial. If she wants to read on a tablet but the file has not been checked, testing is useful. A willing relative can help with that second situation. Help should not become a reason to override the first preference.

### Decide without an artificial score

| Status | Meaning | Action |
| --- | --- | --- |
| Confirmed | Wanted, checked use | Prepare, then check the final |
| Needs confirmation | Unknown device, access, or preference | Ask or arrange a willing trial |
| Different approach | Unmet preference or essential condition | Change the handoff or gift |

## Test without exposing the family stories

Prepare a demonstration page with your own writing and an image that shows no identifiable person. This personal file is neither a copy of a purchased template nor a preview of its access links. Send it through the intended channel to an authorized person. Ask whether they can open it, read a caption, and find the attachment again. You are checking the actions they will actually need.

Canva’s download help describes formats for different uses, with some controls dependent on the account. Inspect your own workspace rather than choosing an advanced feature out of habit. This small trial does not prove the eventual newspaper is fully accessible or compatible. After personalization, check the final file too: layout, photographs, names, and actual reading can differ from the demonstration.

## A worked decision before ordering

Fictional editorial example: Daniel wants to make a newspaper for his mom. She reads English on a laptop and also likes paper keepsakes. His sister agrees to check a page without personal photographs. Language, device, and the reading role are confirmed; printing remains to be arranged. Daniel chooses to prepare the pages himself and identifies the reading file as the first handoff.

Giving her the untouched template would assign a project she had not requested. His sheet therefore reads: reading wanted, personalization by Daniel, opening checked by his sister, paper to discuss. No particular emotional reaction is guaranteed. The concrete benefit is a handoff matching what the reader wants to do and the preparation the buyer has agreed to handle.

## Buy after the essential answers

For a Christmas newspaper, inspect the template’s actual language and occasion before choosing. The cited 22routes layouts have twelve pages to edit in Canva. The French starting point is a grandparents’ birthday; the English layout is for turning 80. Rewrite labels that do not fit Christmas. Any printing and shipping remain separate. A product card shows the actual offer; your completed sheet determines whether it fits this reader.

### Would a newspaper you prepare fit the gift?

Inspect the twelve-page English Canva layout before buying. Its 80th birthday labels need rewriting for Christmas; you prepare the content. Printing and shipping are separate arrangements.

## Frequently asked questions

### Does the recipient have to edit the template?

Only if that is the project they want to receive. For a reading gift, the buyer prepares the content and gives a finished version. Separate those roles before buying and check the file’s applicable terms.

### Is an opening test enough?

No. It checks an action on a particular device and channel. Also check language, reading comfort, permitted content, and the finished file. Respect a recipient’s preference for another approach.
