## Collect requirements before downloading

For a Canva PDF intended for printing, start with your printer’s written requirements. Ask about PDF type, dimensions, page order, bleed, crop marks, and color profile. Each setting should answer a specific requirement. A universal checklist of boxes to enable can create the wrong file for the service you have selected, even if the PDF opens normally.

Keep a worksheet with three columns: printer requirement, selected setting, and downloaded-PDF check. Mark a missing instruction “confirm with printer.” Do not infer the document size from paper in your home printer. Also ask whether the newspaper’s twelve pages, including its covers, fit the offered printing format. Resolve that question before spending time changing export options.

## Select the requested PDF and pages

Canva’s official file-type guidance identifies PDF Print as the print-oriented option, distinct from PDF Standard. Look for Share, Download, and the file-type selector; labels can vary by interface. Then select the necessary pages and confirm that you are exporting the correct working copy. The export choice cannot repair missing detail in an original photograph.

Your worksheet might say “Type: printer specification; pages: 1–12 in reading order; dimensions: approved document dimensions.” Treat that as a specification to confirm, not a compatibility guarantee. Do not enable booklet rearrangement when the printer expects individual pages. Record the page range explicitly so a one-page test export cannot accidentally become the production file.

## Bleed and crop marks follow the printer

Canva distinguishes the margin that protects important content from bleed that extends a background beyond the trim. Its help describes a crop-marks-and-bleed option for PDF Print export. The availability of that option does not mean every printer requires it. Ask whether marks are wanted, how bleed should be supplied, and whether the document itself needs preparation.

Newspaper Club’s own Canva guide instead tells users to leave crop marks and bleed unchecked for its workflow, while choosing PDF Print and Flatten PDF. Those instructions do not establish that a 22routes template fits its service. They demonstrate why the actual format’s requirements should control the export, rather than a general recommendation copied from another printer.

## Record what your account can export

Canva notes that some controls, including CMYK export, depend on the account plan. If the printer requires an option you cannot access, tell them before ordering. Ask whether they accept the available export or offer a conversion service. Do not silently substitute a different profile or assume that every free account exposes the same controls.

Fictional worksheet entry: “Required color profile: confirm; available option: RGB; next action: obtain printer approval.” Another entry could read “Marks: not requested; checkbox off; downloaded PDF inspected.” The worksheet records why you selected each option, not just a screenshot of the menu. Keep the printer’s reply with it so a later export uses the same agreement.

## Inspect the file you actually saved

Open the downloaded PDF and review every page. Compare count, order, dimensions, and marks with your worksheet. Inspect edges, photographs, and text rather than relying on the editor preview. Use a versioned filename to distinguish a proof from the file submitted for production. Reopen a fresh download after any correction instead of checking an older attachment.

For an English layout, view the 22routes The 80th birthday newspaper, a twelve-page digital Canva template. Check its actual preview and editable age and occasion labels first; consider changing them only if the design fits your intended project. Printing is arranged separately.

## Frequently asked questions

### Should I always enable bleed?

No. Canva documents the option, but your printer’s workflow determines whether to use it. Obtain instructions for the format you are ordering. Newspaper Club’s guide is an example of different requirements specific to its service.

### Does PDF Print guarantee acceptance?

No. The printer may also check dimensions, page count, and other specifications. Exporting cannot restore detail missing from a photograph. Inspect the downloaded PDF and request acceptance of that exact file.
